With the latest Release the Entry Check App has not only adopted more of the Lightning Look and Feel, but we have also been able to provide more functionality in Lightning, so that you can migrate from Classic to Lightning without losing functionality, or if you start on Lightning to leverage the Entry Check functionality which our customers have enjoyed for several years.

Merge and Convert Buttons

Merge and Convert Buttons are now available from List Views on Leads, Accounts and Contacts. Including New Merge and Convert Wizards.

Dynamic Dupe Status

One of the favourite features, the Dupe Status can now be placed in the right-most column (instead of having it on the Detail Page only), giving your users the option to see the Dupe Status regardless of whether you have the Detail, Related List or Activities occupying the left-most column.
The Dupe Status allows your users to merge/convert the duplicates on the fly, whenever they come across duplicates while doing their daily activities with the Leads, Accounts and Contacts.

Quick Entry Check in Lightning

Quick Entry Check on the Lightning Home Page

Similar to the functionality in Classic, it is now possible to add the Quick Entry Check component to the Lightning Home page, or anywhere else you like it.
The Quick Entry Check component will allow you users to jump directly into the record creation process, from the Home page, regardless of whether they are about to create an Account, a Contact or a Lead.
An in addition they will be taken through the valuable Entry Check process which will prevent the user from creating duplicates, just by typing a few basic details for the new records to be produced.

With a few more clicks and leveraging the standard Utility Bar functionality in salesforce, you can add the Quick Entry Check component to the Utility Bar, and have it availabe on any screen.

-Once the user enters these few basic details and hits the Check/Search button, the user will be presented with the Entry Check Screen, where results from the fuzzy searching is presented in a single screen, now allowing the user to decide whether to proceed with creation of the new records or continue working with one of the existing records.

How to set it up? -its simple

Go to the Home Page in Lightning and Edit the page.
Add a Visualforce component to the right most pane.
Select the Quick Entry Check page, and set the height to 175, and you are set to go.

For the UtilityBar, go to the App Manager, select your App, and Edit it.
On the Lightning App Builder page you will find the Utility Bar editor.
Add a Visualforce page to yoru list, and set the parameters as illustrated below:

Dupe Alerts, List View Merge Buttons

List View Merge Buttons

You may come across situation where you or end-users comes across duplicates while searching salesforce, and looking at list views.
With the List View Merge Buttons for Lead, Contact and Account, you can provide the user with the ability to jump directly into the Merge Wizard from the list view.

Available in both Classic and Lightning

If you select 2 records, and click on Merge, the merge wizard will be launched with the 2 selected records (maximum number of records to select is 2).

If you ONLY select 1 record and click Merge, you will also be taken to the Merge Wizard, but will now be presented with all the potential duplicates found by any Alert where the selected record takes part. E.g. any contact duplicates found for the selected account.

Go to the salesforce setup, and customize the Account. Contact and/or Lead, adding the buttons to the search layouts as below:

Dupe Alerts, Support for IN Operator

Full support for IN operator in the Filter statements

Although we already support the entire SOQL language in the filter statements, the IN operator has been supported, to filter on multiple fields.

Where Country IN (‘USA’, ‘Canada’, ‘UK’, ‘France’)

But the IN operator can also be used in more advanced queries, like if you want to select a segment of Contacts which relates to another Object.

How to?
Step 1: Getting a list of ContactId’s
Select ContactID from CampaignMember where Campaign.Name = ‘Dreamforce 2017′
Step 2: Put this list into the IN statment
Id IN (Select ContactID from CampaignMember where Campaign.Name = ‘Dreamforce 2017′)

This technique can now be used for similar situations, where you want to match contacts which are associated with e.g. a particular JobOffer, Opportunities etc.

In the Filter field it would look like this (Selecting all Contacts from USA who has been part of at least one Campaign):

Dupe Alerts, Release: February 2018

New Features and Functions

  1. -Lightning Ready, Improved Navigation
  2. -Redesign of the Merge Wizard, now including a Summary page where you e.g. can check if any of the 2 contacts are Portal Users

Merge Wizard with Summary section

The Merge Wizard have been updated to include a summary section.
This Summary section will sow you some basic scores, and important information about the 2 records being reviewed, e.g. is any of the 2 contacts is a portal user.
The Summary section also displays any feedback provided by the end-user in a feedback process, so that the merge of the records can be performed accordingly.

List View Buttons, are now included in the package. Buttons you can add to the List Views and Search layouts, giving your users the possibility to jump right into the Merge Wizard when ever they come across duplicates in their day-to-day work.

Large Volume Mass Merge / Convert (BETA)

Processing of large volumes of duplicates in Batch mode is now available with the DataTrim Matched Records Batch processing functionality.
With a possibility to include up to 10.000 duplicated for each batch, deduping large database has never been easier.
This functionality is currently in BETA.

On the Matching side we have added new Advanced Parameters to the patching process, extending the suite of matching capabilities which has been available for salesforce clients for almost 10 years by now.

A new parameter will allow you to use additional custom fields for the matching in combination with the list of fields already included by default. Check out the user guide for more details.

Dupe Detection Upon Entry

DataTrim Dupe Alerts include a function: Dupe Detection Upon Entry which often is overlooked.

The built-in search and matching functionality of the Dupe Alert App will at the entry of a new account/contact/lead make a thourough search for duplicates, and notify the user using the Dupe Status element on the account it-self.

Notifying the user:

“Be careful the record you just added looks like a potential duplicate of another record already in the database”

The user can then review and possibly merge the 2 records making sure that the new record is consolidated with data and history from the existing.
Dupe Status

The Dupe Detection Upon Entry functionality leverage the Dupe Status VF page, which you can add to the page layout of the Account, Contact or Lead to present to the user, whether the current record has been identified as a potential duplicate or not.

The Dupe Detection Upon Entry feature is enabled with a single click on the Dupe Alerts Console.
No need to setup specific matching rules etc.
It is all built into the app from day one.

And should the built-in rule not be sufficiently sophisticated to catch the dupe, then rest assured because your scheduled deduplication functionality, of the Dupe Alerts App, will.

Lightning Ready

Following the advancement and development of the Lightning functionality of salesforce, we are now proud to announce that the DataTrim Dupe Alerts App is Lightning Ready, and available to all who has switched to Lightning, or is deploying a new org 100% based on Lightning.
Being a Native App, re-utilizing the user-interface and basic functionality of salesforce, required that we had to wait for salesforce to support all the fundamental functions upon which we have built, but now it is there and we hope that you like the result.

Review & Merge : Collaboration

With DataTrim Dupe Alert, Matching and Merging records is NOT limited to being a one-man’s Job.
By intelligently segmenting your data into logical parts, you can match and review these parts separately.
By involving multiple data-stewards and even end-users, you will improve the effectiveness of your cleaning process and increase your visibility to the cleaning initiative.

In this and 2 related blogs we will talk about:

  1. Segmentation: How to break your data into logical segments, and how to create views for more effective reviewing and matching.
  2. Permissions: Sharing Rules, Record Ownership, and how you provide review and merge processes respecting this.
  3. Collaboration: Engaging the End-users in the Review and Merging process, or just allowing them to provide feedback on the duplicates.

Collaboration

Engaging the End-User in a data quality initiative and making decision on how to merge duplicates is the ultimate solution, but not always practical, as it takes time away from the end-users – Unless it is well implemented!

There are many advantages by enabling the End-User to participate in the Review and Merging process, but there are also traps to avoid.

Some companies do not allow their end-users to e.g. delete account records, because they may be linked to a back-office, order or invoicing system. Merging implies deleting on of the accounts, so a merge can only happen once the 2 accounts have been validated as not yet created in the linked system, or the dupe has been blocked so that it isn’t resynched and reappear next time a synch is done.

In these cases, the workload at the end-user level should be reduced to a simple feedback, with indication of which record to keep and what data to merge, and then someone central with access to both systems can do the necessary.

The Dupe Status on the Detail page is a nice way of dealing with the dupes, as you only deal with it once you come across it, and so it doesn’t take up hours of extra work, but the end-user may actually be curious to see that there is a potential duplicate, because it may be a new opportunity for him/her to reach out and generate new business.

Clicking the Merge Button/link will provide the end-user with the possibility to merge the related duplicates.

For more structured reviewing and merging, the ability to browse through list, and either providing feedback or merging like the data steward is after all more effective for larger cleaning initiatives.

Feedback process

In DataTrim Dupe Alerts, the Dupe Status (on the Detail Page) provides 2 options, one (the Merge button/link) which will launch the Merge Wizard and one (Review button/link) which will provide the Feedback feature.
The feedback feature, will show a screen, which is very similar to the Merge Wizard, but in place of the merge buttons, the user will be provided with the option of providing feedback on the 2 duplicate records provided.

The Merge button/link can be hidden, from the setup, so that the end users only have the Review button/link.

List Views

In DataTrim Dupe Alerts we leverage the standards functionality for List Views, and obtains therefore a high degree of flexibility in creating custom view in a familiar environment.

Like discussed in the Blog about Reviewing and merging with special Permission settings we can leverage the same mechanism here to create a formula field which determines which Dupes a User should be allowed to review.
A formula field, which e.g. flags records where the current user is the owner of both records in a Matched Record Set:

Next: Proceed with creating List Views as described here (Permission – how to), and you will be able to have very simple List Views which your end-users will be able to access.

Giving the End-User a List View with check-boxes, and a number of buttons, may not be the most simple process for them to follow, and may requirement a little training etc.

To make the reviewing even more simple we propose that you not only reduce the number of list view to the minimum, but that you also include on each list item a link which will launch the merge feature. This makes the process a lot simpler (-also to explain).

Edit your List Views, to make this field the left-most field and you are set to go.

This Formula Value will launch the DataTrim Merge Wizard:

This parameter is the one which will make the Review Wizard show in Review mode (feedback only), if you remove the parameter, the user will get the normal Review Wizard, which will allow him/her to Merge.

Custom Links for End Users

From time to time you may want to ask others to perform a Review and Merging of a particular set of records. In this case you can construct an URL, send it by Email, chatter etc., and it will launch the Review Wizard with a specific set of Duplicates.
